READ MAIL

Check your mail

  1. Press Control + M

Read mail

Press up and down arrow to read the list of email in your inbox.

Press Enter to open a message window and read message.

Press Escape to return to your Inbox

Alt + Right arrow reads next

Alt + Left Arrow reads previous.

NOTE: choose Tools, Options to set up outlook to always display Inbox.

Delete a message

When in Inbox press Delete

When in message press Control with Delete

Print a message

Press Control with P

WRITE AND SEND EMAIL

Send an email

  1. Choose Compose, New Message (Control with N)
  2. Type the email address or nickname.
  3. The computer will guess the correct address very quickly.
  4. Press Tab to CC (Carbon copy)
  5. Press Tab to subject and type heading for your message.
  6. Press Tab and type message.
  7. Choose File, Send message when finished (Control with Enter)

Send mail to an address in the address book

  1. Choose Compose, New Message or press Control with N
  2. Choose Tools, Select Recipients.
  3. Press Tab twice to the list.
  4. Press Down arrow to the name and press Enter twice.
  5. Press Tab twice to move to the subject field.
  6. Type the subject and press Tab
  7. Type the message
  8. Choose File, Send Message OR press Control + Enter

Reply to an email

  1. Choose Compose, Reply to Author (Control with R)
  2. A new message window is opened and the email address and subject are typed.
  3. Type your message.
  4. Choose File, Send.
  5. Choose Compose, Reply to All if it is from a group of people

Forward an email

  1. Choose Compose, Forward (Control with F)
  2. Type email address and press tab four times.
  3. Type message and Choose File, Send. (Control + Enter)

Spell Check

Spell Check is only available in a message Window.

Choose Tools, Spelling or press F7.

ATTACHMENTS

Open an attachment

1. Open email

2. Press Shift with Tab to go to Attachment and press enter to open.

3. If Attachment has a doc extension it will open in Word.

4. After reading attachment you can save in Word

5. Press Alt with F4 to close Word and return to email.

Send Attachment

1. Create a new email

2. Alt, I, A (Insert, File Attachment)

3. Select File

4. Press Enter.

Copy Text and Paste in Email

1. Open Word processor

2. Press Control with A to Hightlight Text

3. Press Control with C to copy

4. Press Alt with Tab to switch to Outlook

5. Press Control with N for New email

6. Type name and press Tab 3 times

7. Type subject and press Tab

8. Press control with V to paste Text

Send an email from within Word.

This will send your Word document as an attachment

  1. From within Word choose File, Send To or press Alt + F, D
  2. Press down arrow to Mail Recipient and press Enter.
  3. Type the email address.
  4. Choose File Send.

FOLDERS

Navigating folders

Press Tab to move from Folder list to Message list.

Press Up and down arrow to read messages in selected folder.

Press left and right arrow to open and close folders.

Create A New Folder

  1. Position cursor on Local Folders (Tab, up arrow)
  2. Select File, Folder New (Control + Shift + E)
  3. Type folder name and Press Enter

Move Message To A Folder

  1. Position cursor on the message
  2. Select Edit Menu, Move to Folder (Control + Shift + V)
  3. Select folder and press Enter

Move email to folder

1. Shift with Control with V

2. Arrow down to select folder

3. Press Enter

Select several Email to move to a folder

  1. Press Control with up arrow or down arrow
  2. Press Spacebar to highlight a file
  3. Press Control + Spacebar to remove highlight

Look in folder to check

1. Control with Y

2. Arrow down to folder and press Enter

3. Press Shift with control with I to return to inbox

 

 

ADDRESS BOOK

Address are automatically added to Address book when you reply.

NOTE: Select Tools, Options, General and tick "Automatically put people I reply to in my address book"

Add Sender to address book

1. Got to the Inbox and press down arrow to email

2. Press Applications Menu key

3. Press up arrow to "Add Sender to Address Book" and press Enter

Type new address in address book

1. Shift + Control + B (Address Book)

2. Control + N (New)

3. Type details and press Tab between fields

4. Press Enter when finished.

Look up an address

  1. Choose Tools, Address Book or press Control + Shift + B.
  2. Press Tab, down arrow to read
  3. Press any letter of the alphabet to jump to the first entry starting + that letter.
  4. Press Alt with Enter to open the properties
  5. Press Control with Tab to edit the properties.

Type A Group Email Address

1. Shift + Control + B (Address Book)

2. Control + G (Group Address)

3. Type Group Name

4. Tab to Select members button and press Enter

5. Tab three times to "Address list List View"

6. Down arrow to each name and press alt + T to select

7. Press enter when finished

8. Press Tab to Group Member list view and read the names

9. Click OK when finished.

Change Address Details

1. Shift + Control + B (Address Book)

2. Press tab to list View

3. Press down arrow to address

4. Press Alt with Enter

5. Press Control with Tab

6. Tab to each field to check details

7. Tab to Edit button and press Enter to change email address

8. Type new address and press Enter twice.

Export Address Book (from C to A)

  1. Open Address book
  2. File, Export, Address book
  3. Save to A:\email.wab

Import address book (from A to C)

This will add addresses to your existing address book

  1. Open Address Book
  2. File, Import, Address book.
  3. Click Browse
  4. Select A:\email.wab

To copy Address book across different versions of Outlook

  1. Open Address book
  2. File, Export, Other Address book
  3. Text File (comma separated values)
  4. Save to A:\email.txt

To paste address book

  1. Open Address Book
  2. File, Import, Other Address book.
  3. Text File (Comma separated values)
  4. Click Browse
  5. Select A:\email

Print Address Book

1. Open Address Book (Shift +Control with B)

2. Tab to list

3. Control with A to Highlight

4. Control with C to Copy

5. Alt tab to Word

6. Control with V to paste

Filters

Message Rules to automatically move messages to folder

1. Tools, Message Rules, Mail

2. Press Down arrow to "Where the To Line Contains People"

3. Press Spacebar to select

4. Press Tab to "Move to specified folder"

5. Press Spacebar to select

6. Press Tab

7. Click Contains People

8. Click Address book button

9. Press Tab 3 times to the list of addresses.

10. Select Email address by pressing Enter

11. Press Tab 5 times to OK button and press Enter

12. Click Specified

13. Select Folder and press Enter

(OR Click New folder and type new folder name and press Enter)

14. Press Tab to Name for Message Rule

15.Type Name for Rule

16. Press Enter

NEWSGROUPS

  1. Tools, Accounts, News page
  2. Click Add, News
  3. Type news server address eg news.ozemail.com.au
  4. It will be display in the folder list
  5. Click it to display newsgroups
  6. Type a keyword to find a newsgroup
  7. Click Subscribe
  8. Click Go to

The messages are displayed.

Click the plus to open the thread or press right arrow.

 

ACCOUNTS

Set up a mail account

  1. Tools, Accounts
  2. Switch to Mail (Control with Tab)
  3. Click Add button and select Mail (Alt with A, M)
  4. Type Display Name
  5. Type email address
  6. Type incoming mail address and press tab
  7. Type outgoing mail address and press Enter
  8. Type account name and press Tab and type password and press Enter
  9. Type friendly name for account

To edit Account details

  1. Tools, Accounts
  2. Switch to Mail (Control with Tab)
  3. Select the account and Click Properties button (Alt with P)
  4. Switch to the page and make changes.

Add Hotmail Account

  1. Add new account
  2. Tools, Accounts, Mail page
  3. Click Add, Mail
  4. Tick "Use existing account"
  5. Type email address and follow promtps

Settings

Stay connected

  1. Tools Options
  2. Click Connection page
  3. "Hang up after sending and receiving" Make sure it is NOT ticked.

Hang Up

  1. File, Work Offline.

Do not connect

  1. Tools Options
  2. Click General Page
  3. "Check for new messages every 5 minutes"
  4. "Do Not Connect"

Modem settings

  1. Control Panel
  2. Modem
  3. Properties
  4. Remove tick "Disconnect if idle for more than 30 minutes"

Copy Icon To The Desktop

  1. Find it on the Start menu
  2. Right click
  3. Select Send To
  4. Desktop

Rename The Shortcut

  1. Press F2
  2. Type new name eg Outlook Express
  3. Press Enter

Folder View

  1. View menu
  2. Layout
  3. Tick 'Status Bar'
  4. Everything else not ticked

GENERAL

ü When starting go directly to Inbox folder

READ

Change the font for reading

  1. Tools Options, Read
  2. Click Fonts,
  3. Font Size largest

SEND

If messages are received and sent in HTML, they can be displayed in large fonts.

  1. Tools, Options, Send
  2. Mail Sending format - HTML )
  3. News Sending format - HTML

COMPOSE

Change font for writing

  1. Tools Options
  2. Compose
  3. Click Font Settings
  4. Choose Font eg Arial
  5. Choose Regular or bold
  6. Choose Size eg 24.

When reading a message, links are displayed in blue which is hard to read

To Change this for this message only Select View Menu, Fixed

In a particular message, to change the font size

View Menu, Text Size, Largest

Share Email address for different profiles

It is very important to nominate a common mail box for ALL users

  1. Choose Tools Options
  2. Click Maintenance page
  3. Click Store Folder Button
  4. Click Change button
  5. Select C:\Windows\Application Data\Microsoft\Outlook Express
  6. OK, Yes Yes

Outlook defaults to

C:\windows\profiles\username\application data\microsoft\outlook express

And the mail downloads to the user mailbox and the next person cannot read it.

1. Open Internet Explorer

2. Control with O (Open)

3. Type www.bigpond.com.au and press Enter

4. Insert with F7

5. Press M to find "My Bigpond Account"

6. Press Enter

7. Hit down arrow until you read Username

8. Hit down arrow and read "Edit" and press Enter.

9. Type user name

10. press Tab

11. type password

12. press Enter

13. Press insert with F7

14. Press V "View your bill"

15. Press enter
